Personal Assistant / Office Manager

My client, a start-up company based in London, are seeking a Personal Assistant / Office Manager to join their team. This is a multifaceted position that will involve diary management, project work and marketing.

Key Responsibilities include:

  • Carry out research, preparation of documents, reports, briefing papers, production of statistics and financial information
  • Pro-active management of complex diaries / schedules, prioritising appointments, finding resolutions if conflict arise
  • Communicate and act on or behalf of the Chief Executive to key stakeholders
  • Take charge of the CEO’s email inbox, business social media accounts and telephone as and when required
  • Manage a dynamic workload, with the ability to work to tight deadlines.
  • Minute taking and share action points after meetings (chasing progress if and when necessary)
  • Undertake a positive and pro-active 'gate-keeper’ role whilst being approachable, diplomatic, sensitive and professional whilst retaining the need for confidentiality
  • Manage travel logistics for the founders
  • Be the first point of contact and expert in the office for all queries from the team related to the day to day running of the office
  • Ensure that the purchase and control of office supplies and equipment, meets the current and future needs of the organisation
  • Devise and maintain the fixed asset register
  • Ensure security measures of premises and personnel are adhered to 
  • Ensure adherence to health and safety and fire procedures throughout the office and relevant training and updates are undertaken as required
  • Oversee processes for the maintenance, repair and cleaning of the office and equipment
  • Manage the tasks and time of the office assistant

  •  Positive, confidential, proactive person who is organised, approachable, and flexible
  • Excellent organisational, prioritisation and time management ability 
  • Impeccable general administration skills
  • A desire to provide a great customer service and support
  • Enjoy and thrive in working in teams
  • Be able to pre-empt issues and address challenges as they arise
  • Be able to implement process improvements and efficiencies which free up time for the CEO
  • Have a proven track record as a successful Personal Assistant
  • Have excellent MS Office skills
